ABOUT THE FAMILY
An active, international British family currently based in Midtown Manhattan, who lives life at pace — across time zones, residences, and interests — is looking for an exceptional individual to sit at the centre of it all.
They have four children, multiple properties across the US and internationally, and a broad portfolio of business, personal and financial interests. Their household is fully staffed, well-organized, and high-functioning. The right candidate will raise the bar further.
THE ROLE
The Senior Executive Personal Assistant (SEPA) is the primary point of contact for all day-to-day matters relating to the principals — professional, personal, and household. This is a senior EA role requiring exceptional standards of organization, discretion, and delivery. The SEPA leads an immediate team of two supporting assistants, setting the tone for the quality and consistency of output across the function, but the SEPA will engage far more widely across family interests, staff and other third parties.
This person must be an outstanding enabler; meticulous in execution, proactive in anticipation, and utterly reliable in facilitating and communicating complex synchronization of activity.
The role directly reports to the principals and demands a deep commitment to service and to getting the detail right, every time.
KEY RESPONSIBILITIES
- Serve as the principals’ primary point of contact, managing professional, personal, and household communications and requests
- Directly lead, coordinate, and review the work of two supporting assistants, ensuring consistent quality of output across the team
- Manage and co-ordinate wider domestic staff to ensure service delivery on the principals’ behalf
- Manage complex diary and schedule coordination across multiple time zones, residences, and commitments
- Arrange and oversee private aviation, multi-leg international travel, accommodation, and ground logistics to a flawless standard
- Handle correspondence and communications with the family’s consultants, advisors and wider family office — accurately and with appropriate discretion
- Support property-related administration including coordination with property managers, contractors, and household staff
- Manage sensitive and confidential matters with complete professionalism and absolute discretion
- Anticipate requirements, track open actions, and ensure follow-through so nothing is missed or delayed
- Maintain meticulous records, files, and administrative systems to support a high-functioning household and professional life
WHAT WE ARE LOOKING FOR
The family’s preference is for a warm, highly capable, and utterly dependable individual who takes genuine pride in the quality of their work and the support they provide. This is a role for someone who finds deep satisfaction in getting the details right and making a busy, complex life run smoothly.
Candidates should be:
- An experienced Senior EA or Personal Assistant with a strong track record supporting a principal in a private household, family office, or UHNWI environment
- Exceptionally organized and detail-oriented, with the ability to manage multiple threads simultaneously without losing precision
- IT proficient – specifically an Excel power user who can build, automate and troubleshoot complex spreadsheets and reporting tools independently
- Dedicated with the ability to commit whole-heartedly – this is not a role for the faint of heart
- Proactive and anticipatory — always one step ahead, identifying what is needed before being asked
- Discreet and trustworthy, with impeccable judgment and an instinct for confidentiality
- A composed and confident communicator, able to engage professionally on the principal’s behalf
- Experienced in coordinating complex international travel and logistics, including private aviation
- Comfortable leading a small team and setting high standards through example rather than authority
- A NYC resident with full right to work in the USA but with the ability to travel and support internationally
